Most small business owners do not need more accounting software. They need to see, on one screen, what came in, what went out, and what is left. A simple budget tracker spreadsheet does that job well, and it costs nothing to run. That is why our sister channel, Sheets by OptiVal, builds these tools on camera, start to finish, and gives the finished files away.
This page collects the three builds small business owners ask us about most. Watch the video that fits your problem, download the free file, and you have a working system today. The budget tracker is the place to start if you have never tracked your numbers in a spreadsheet before.
Start here: a free budget tracker spreadsheet that updates itself
A budget tracker only helps if it stays current. This build sets up a monthly tracker in Google Sheets with categories, running totals, and a small dashboard that updates itself as you add transactions. No re-typing totals, no broken formulas at month end.
Watch a complete monthly budget tracker get built in Google Sheets, formulas, running totals and a dashboard that updates itself. The finished tracker is free to keep, in Sheets and Excel versions.

Prefer Excel? The same tracker, and the $2,150 mistake to watch for
The Excel build rebuilds the same tracker, and it catches a mistake we see in client books all the time: a budget total that quietly skipped $2,150 of rent. One wrong range in one formula, and the month looks $2,150 healthier than it is. The video finds the error, fixes it, and shows the check that stops it happening again.
A budget total that quietly skipped $2,150 of rent, found and fixed in Excel while the same tracker from the Sheets build is rebuilt beside it. The finished tracker is free to keep, in Excel and Sheets versions.

One formula that builds the whole report: Google Sheets QUERY
Once the tracker is running, the next job is reporting. Owners usually build reports by copying numbers into a summary tab by hand, which is slow and easy to get wrong. This build uses one QUERY formula to turn a 36-order sales log into a full report: totals by category, channel, and customer. It also finds the $125 order that a text-stored date was hiding, the kind of small error that quietly understates a month.
One QUERY formula turns a 36-order sales log into a full report: totals by category, channel and customer, plus the $125 order a text-stored date was hiding. The finished report file is free to keep.

How to use these files in your business
Keep it simple. Use the budget tracker for the monthly habit: record income and spending in the tracker, look at the dashboard once a week, and compare the month against plan before it ends, not after. Set aside your GST/HST and tax money as it comes in, so the tracker balance and the bank balance tell the same story. When the hand-built report starts eating an hour or more a month, the QUERY build is the step up: the report rebuilds itself from the raw log every time.
These tools handle the tracking. They do not replace month-end bookkeeping, payroll remittances, or a year-end filing, and a tracker is only as honest as the numbers typed into it. If your books are behind, or the spreadsheet and the bank no longer agree, that is the point where help pays for itself. Our team handles bookkeeping from $199 a month, led by qualified professionals with more than 75 years of combined experience. Book a free consultation if you would like us to look at your setup. More free tools are on our Templates and Tools page, and new builds land on the Sheets by OptiVal channel every week.
